Below you\u2019ll find t<strong>he only resource you\u2019ll ever need when it comes to shipping documents!<\/strong><\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter wp-image-5699\" src=\"https:\/\/www.freightera.com\/blog\/wp-content\/uploads\/2021\/10\/Man-pushing-paper-stack-1024x682.jpg\" alt=\"Man pushin stack of papers\" width=\"420\" height=\"280\" \/><\/p>\n<h2><b>Common shipping documents<\/b><\/h2>\n<h3>Bill of Lading<\/h3>\n<p><span style=\"font-weight: 400;\">A <a href=\"https:\/\/www.freightera.com\/freight-shipping-guide\/bill-of-lading-bol-freight-shipping\" target=\"_blank\" rel=\"noopener\">Bill of Lading (BOL)<\/a> is a document that contains all of the basic information about your shipment, such as <strong>the shipper\u2019s and consignee\u2019s addresses and contact information, the cargo information, as well as the carrier\u2019s information.<\/strong><\/span><\/p>\n<p><span style=\"font-weight: 400;\">A bill of lading<\/span><b>, <\/b><span style=\"font-weight: 400;\">sometimes called the waybill is the bread and butter of shipping documents.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Since the BOL is signed by both the shipper and the carrier at the time of pickup, it also serves as proof of pickup and state of the shipment.<\/span><\/p>\n<h3><b>Shipping labels<\/b><\/h3>\n<p><span style=\"font-weight: 400;\"><a href=\"https:\/\/www.freightera.com\/freight-shipping-guide\/how-to-label-freight-correctly\" target=\"_blank\" rel=\"noopener\">Shipping labels<\/a> are not a standalone document, but <strong>an addition to the BOL<\/strong>. They are the honey to your bread and butter and must be placed on your cargo. The labels make it easier for the carrier to confirm which pallet or shipment belongs to which BOL.<\/span><\/p>\n<h3><b>Pro forma invoice<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">There are no strict rules on how a pro forma invoice should look or be formatted since it is <\/span><i><span style=\"font-weight: 400;\">pro forma <\/span><\/i><span style=\"font-weight: 400;\">(<\/span><span style=\"font-weight: 400;\">done or produced as a matter of form)<\/span><i><span style=\"font-weight: 400;\">. <\/span><\/i><span style=\"font-weight: 400;\">What is important, however, is that <strong>it needs to include a detailed description of the goods as well as their value.\u00a0<\/strong><\/span><\/p>\n<p><span style=\"font-weight: 400;\">They are used by the purchaser, for internal purposes in international purchases. When filled in fully and correctly, they are quite similar to a commercial invoice.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Pro forma invoices are generally sent to the purchaser before the shipping itself takes place.\u00a0<\/span><\/p>\n<h3><b>Commercial or Customs Invoice<\/b><\/h3>\n<p>A commercial invoice is a document that is used for customs clearance. <strong>Its main use is to show the value and origin of the shipment.<\/strong><\/p>\n<p><span style=\"font-weight: 400;\">Although it may look similar to a pro forma invoice, the commercial invoice (sometimes called the customs invoice) does have to contain more information than the pro forma invoice. Unlike the pro forma invoice, the commercial invoice is not used solely for internal purposes. In fact, without a commercial invoice your shipment would be unable to cross the border at all.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Every customs invoice <\/span><b>needs to contain the following information:<\/b><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The country of origin<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The shipper\u2019s and consignee\u2019s information (company name and the full address)<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The list of items shipped<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The value per item shipped and the total value of the shipment<\/span><\/li>\n<\/ul>\n<h3><b>Packing List<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">A packing list is a detailed description of your shipment with the <strong>packing type, weight, dimensions, volume per item shipped, as well as any markings per item.<\/strong><\/span><\/p>\n<p><span style=\"font-weight: 400;\">This document may be required during customs clearance. It helps the customs officials identify the packages they&#8217;d like to inspect, instead of inspecting each piece shipped individually.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">It is also possible that either of the parties may require a packing slip in order for a bank to issue them a letter of credit.<\/span><\/p>\n<h3><b>Certificate of Origin (CoO)<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">A certificate of Origin is just that, <strong>a certificate stating the country of origin or manufacture of the goods being shipped.<\/strong> This document is issued by the local Chamber of Commerce.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The CoO is necessary for the import of goods. It helps the customs authorities determine whether a shipment is subject to duties as well as whether the shipment is even eligible for import.\u00a0<\/span><\/p>\n<h3><b>Gift Certificate<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">No, not the kind of gift certificate you\u2019d get at your local pizza place. The gift certificate in shipping is used instead of a commercial invoice.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In the case that you are shipping an <a href=\"https:\/\/learning.candid.org\/resources\/knowledge-base\/in-kind-gifts\/#:~:text=An%20in%2Dkind%20donation%20is,or%20for%20special%20event%20auctions\" target=\"_blank\" rel=\"noopener\">in-kind donation<\/a>, your shipment would no longer need a commercial invoice or a certificate of origin. Instead, <strong>you would use a gift certificate to prove the value and origin of the goods.<\/strong><\/span><\/p>\n<h3><b>Freight Invoice<\/b><\/h3>\n<p><span style=\"font-weight: 400;\"><strong>Your shipping fees are listed and broken down in your freight invoice.<\/strong> At Freightera, we generally issue an invoice after a shipment has been delivered, and a preliminary invoice is available to all our clients before that but is subject to revision.<\/span><\/p>\n<h3><b>Forwarder\u2019s Certificate of Receipt<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">In the case you are using a freight forwarding company, you will receive a Forwarder\u2019s Certificate of Receipt as <strong>proof that the goods were actually handed over to them.<\/strong><\/span><\/p>\n<h2><b>Situational shipping documents<\/b><\/h2>\n<h3><b>Dangerous goods declaration<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">A dangerous goods declaration is required if you\u2019re looking to ship&#8230; dangerous goods.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">A dangerous goods declaration shows that your shipment has been <strong>labeled, packaged and declared as per the dangerous goods regulations.<\/strong><\/span><\/p>\n<p><span style=\"font-weight: 400;\">Most ground carriers will allow this declaration to be replaced by a BOL as long as it contains (along with the standard BOL information) a UN code, the proper name of the commodity, the hazmat class, and the packing group.<\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter wp-image-5700\" src=\"https:\/\/www.freightera.com\/blog\/wp-content\/uploads\/2021\/10\/Hazardous-materials-signs-1024x592.jpg\" alt=\"List of hazardous material signs\" width=\"420\" height=\"243\" srcset=\"https:\/\/www.freightera.com\/blog\/wp-content\/uploads\/2021\/10\/Hazardous-materials-signs-1024x592.jpg 1024w, https:\/\/www.freightera.com\/blog\/wp-content\/uploads\/2021\/10\/Hazardous-materials-signs-300x173.jpg 300w, https:\/\/www.freightera.com\/blog\/wp-content\/uploads\/2021\/10\/Hazardous-materials-signs-768x444.jpg 768w, https:\/\/www.freightera.com\/blog\/wp-content\/uploads\/2021\/10\/Hazardous-materials-signs-1536x888.jpg 1536w, https:\/\/www.freightera.com\/blog\/wp-content\/uploads\/2021\/10\/Hazardous-materials-signs.jpg 2000w\" sizes=\"(max-width: 420px) 100vw, 420px\" \/><\/p>\n<h3><b>Import\/Export Customs Declaration<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">An import or export declaration, expresses a party\u2019s desire to place a shipment under a given <\/span><a href=\"https:\/\/ec.europa.eu\/taxation_customs\/business\/customs-procedures-import-and-export\/customs-procedures\/customs-declaration_en#:~:text=A%20customs%20declaration%20is%20an,under%20a%20given%20customs%20procedure.\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">customs procedure.<\/span><\/a><span style=\"font-weight: 400;\"> It lists and gives details of goods that are being imported or exported.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The declaration can be lodged by the owner of the goods or by a party acting on their behalf with the customs office where the goods are to be presented.<\/span><\/p>\n<h3><b>Consular invoice<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Some countries require a document certified by the consular official of the foreign country. It states the age and maintenance of a vessel and is usually required in order for a bank to release a letter of credit.<\/span><\/p>\n<h3><b>Inspection Certificate<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">An inspection certificate is a document confirming that <strong>the goods were seen in good condition at the time of inspection.<\/strong> Usually, the inspection takes place before shipping.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Inspections are performed by specialized companies.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The inspection certificate is sometimes required in order for banks to release a letter of credit.<\/span><\/p>\n<h3><b>Certificate of Free Sale<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Sometimes also known as a certificate for export. The <a href=\"https:\/\/2016.export.gov\/california\/sanfrancisco\/qa\/cfs\/index.asp\" target=\"_blank\" rel=\"noopener\">certificate of free sale<\/a> is required by many countries as <strong>proof that goods such as cosmetics, food items, biological products or medical devices are sold and distributed freely in the open market<\/strong>, without restriction.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This document also proves that the goods were approved by the regulatory authorities in the country of origin.<\/span><\/p>\n<h3><b>Fumigation Certificate<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">A document serving as confirmation that wooden packaging such as pallets has been fumigated.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The fumigation certificate is sometimes also known as the pest-control certificate.\u00a0<\/span><\/p>\n<h3><b>Wood packaging declaration\u00a0<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Some ground carriers, although rarely, will require you to fill and sign a wood packaging declaration form.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Wood packaging declaration notes specifics about the packaging of your shipment such as if the materials used for the packaging were sourced from Canada or the US, if they are made of other materials altogether, etc.<\/span><\/p>\n<h3><b>Dock\/Warehouse Receipt<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">A dock receipt is a receipt given to the shipper by the carrier at the time the goods are received for shipping. This document confirms the carrier\u2019s responsibility to store the freight until the time of shipping.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The dock receipt is a useful document in case of damage or loss of shipment.<\/span><\/p>\n<h3><b>Letter of Credit <\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Also known as a credit letter, a letter of credit is a letter from a bank guaranteeing that a purchase from a seller or shipper will be received on time and for the previously specified amount.
