But delivery is where things can go sideways just as easily, and the consignee \u2013 the person or business receiving the freight \u2013 plays a bigger role in a smooth delivery than most people realize.<\/p>\n<p><strong>This guide walks you through what consignees are responsible for<\/strong>, what to do when the truck shows up, and a few things worth knowing before the driver arrives.<\/p>\n<h3 style=\"text-align: center;\">Get Your Information to the Shipper Before Delivery<\/h3>\n<p>The person who books the shipment isn\u2019t always <em>the shipper<\/em>, but for simplicity, we\u2019ll call them <em>the shipper<\/em> for now. With that said, a smooth delivery starts before the truck even leaves the origin. The shipper needs accurate information about your delivery location to book the right services upfront. If that information is missing or wrong, the carrier may arrive without the right equipment, and your invoice that follows may include value-added service charges you didn\u2019t expect.<\/p>\n<p>Before they book the shipment, make sure the shipper knows:<\/p>\n<ul>\n<li>Whether your location has a loading dock, or whether you need a liftgate (a hydraulic platform to lower freight from the truck bed to ground level)<\/li>\n<li>Whether the delivery address is commercial or residential<\/li>\n<li>Whether an appointment or advance notification is required before the driver can show up<\/li>\n<li>Your hours of operation, and your receiving hours, if they\u2019re different<\/li>\n<li>Any access restrictions, such as limited dock space, low clearances, security checkpoints, or parking constraints for large trucks; also known as <a href=\"https:\/\/www.freightera.com\/help\/what-are-limited-access-locations\">limited access locations<\/a><\/li>\n<\/ul>\n<p>In shipping, details matter. A liftgate, a<a href=\"https:\/\/www.freightera.com\/blog\/residential-vs-commercial-shipping\/\"> residential surcharge<\/a>, an appointment fee, or a limited access fee are all real costs that apply based on the delivery location. And since more and <a href=\"https:\/\/www.freightera.com\/blog\/more-carriers-are-using-third-party-accessorial-verification\/\">more carriers are using 3rd party accessorial validation<\/a>, disputing a location-based fee after the fact becomes difficult once the carrier has a classification on file. The most effective approach is to catch and confirm location requirements before booking, not after the truck pulls up.<\/p>\n<p><strong>In order to avoid any potential issues, the consignee has to provide the shipper with accurate delivery information before the shipment is booked. This includes dock availability or liftgate requirements, whether the address is residential or commercial, appointment and notification needs, operating hours, and any site access restrictions.<\/strong> Getting this right upfront prevents unexpected charges and failed delivery attempts.<\/p>\n<h3 style=\"text-align: center;\">When the Driver Arrives, Inspect First, Sign Second<\/h3>\n<p>This is the most important moment in the delivery process, and one that many consignees overlook.<\/p>\n<p>Before you sign the Proof of Delivery (<a href=\"https:\/\/www.freightera.com\/blog\/freight-terms-glossary\/proof-delivery-pod\/\">POD<\/a>), <strong>inspect the shipment<\/strong>. Check the packaging for any visible signs of damage: crushed corners, torn stretch wrap, wet spots, dents, or anything that looks off. Keep in mind that damaged packaging does not constitute damage, since it is there to protect its contents. But <strong>if you find damage, note it clearly and specifically on the POD before signing<\/strong>. <strong>Make sure to take pictures as proof during delivery as they can be used in case a claim has to be filed.<\/strong><\/p>\n<p>Photograph everything right away, including the packaging, the carrier&#8217;s PRO# sticker, and the damaged goods, and report to Freightera&#8217;s Client Care team within 24 hours.<\/p>\n<p>Why does this matter so much? Because<a href=\"https:\/\/www.freightera.com\/blog\/disappearance-of-freight-concealed-damage-claims\/\"> concealed damage claims are quietly going away<\/a>. Carriers are increasingly refusing to process damage claims when nothing was noted on the POD at delivery. Signing a clean POD for a shipment that turns out to be damaged is one of the most common and costly mistakes a consignee can make. Even<a href=\"https:\/\/www.freightera.com\/blog\/avoid-freight-damage\/\"> minor packaging damage<\/a> should be noted, because what looks small on the outside can mean something worse inside. And if there isn\u2019t any real damage, all the better.<\/p>\n<p>You should always inspect a shipment before signing the POD. Any visible damage to packaging must be noted directly on the POD before you sign. Because carriers are increasingly refusing concealed damage claims when nothing is noted at delivery, it\u2019s important to note even minor packaging issues on the spot.<\/p>\n<h3 style=\"text-align: center;\">How to Treat the Driver<\/h3>\n<p><strong>This one should go without saying, but it&#8217;s worth stating plainly: treat the driver with courtesy and respect.<\/strong> It\u2019s very likely that they didn\u2019t even see your shipment before delivery.<\/p>\n<p>Drivers are professionals on a tight schedule. An LTL driver may have 10 or more stops in a day, and any one of them running late can ruin their timing for the entire day. If there&#8217;s a problem with your shipment, the right move is to <strong>note it on the POD<\/strong> and contact Freightera&#8217;s Client Care team. Arguing with or yelling at the driver doesn&#8217;t resolve anything, and it may actually cost you more money.<\/p>\n<p>Carriers charge detention fees when a driver is held at a location beyond the standard free time, which is typically around 15 minutes for LTL shipments (but may be slightly higher depending on the carrier). Unfortunately, the detention clock doesn&#8217;t care about the reason for the delay. Extra time at your dock is billable time for carriers.<\/p>\n<p>Note the damage, stay calm, and let us help you with the rest.<\/p>\n<h3 style=\"text-align: center;\">Don&#8217;t Request Additional Services at the Door<\/h3>\n<p>Standard LTL freight is quoted and booked with specific services declared at the time of booking. <strong>When a consignee asks the driver for extra services at the time of delivery that weren&#8217;t included in the original booking, those services come at a cost, and the consignee is responsible for that cost.<\/strong><\/p>\n<p>In the freight industry, <a href=\"https:\/\/www.freightera.com\/blog\/what-to-do-when-you-receive-additional-charges-deemed-valid\/\">the fries always come as a separate order<\/a>. Requesting a service at the door doesn&#8217;t reduce or eliminate the charge; it just means it appears on the invoice afterward, often as a surprise.<\/p>\n<p>Common services that consignees sometimes request at delivery without realizing they&#8217;re chargeable include:<\/p>\n<ul>\n<li><strong>Liftgate service<\/strong>, if it wasn&#8217;t booked in advance and the location has no dock<\/li>\n<li><strong>Inside delivery<\/strong>, where the driver brings freight beyond the unloading area (generally, curbside) and into the building<\/li>\n<li><strong>Residential delivery handling<\/strong>, if the location is a home or non-commercial address that wasn&#8217;t noted during booking<\/li>\n<li><strong>Appointment or notification fees<\/strong>, if the consignee needs advance notice of arrival but that service wasn&#8217;t included in the booking<\/li>\n<li><strong>Limited access fees<\/strong>, if the delivery location is a school, church, government facility, construction site, storage unit, or other non-standard commercial address<\/li>\n<li><strong>Driver assist<\/strong>, if warehouse staff ask the driver to help load or unload the freight, or similar<\/li>\n<\/ul>\n<p>If any of these apply to your location, then the time to communicate them is before the shipment is booked.
